CRM for SMEs: when is Dynamics 365 worth it?

In short: Dynamics 365 pays off for an SME when the company already uses Microsoft 365, at least 5–10 people work with customers, there are sales or service processes that can be written down, and the CRM has to connect to the ERP or other systems. If you only need a simple sales pipeline for a handful of people, a lightweight SaaS CRM starts faster and cheaper. This article helps you decide where your company stands and what an implementation involves.

How do you know you have outgrown Excel and email?

Most SMEs do not arrive at a CRM by strategic choice, but because spreadsheets and inboxes stop coping. The typical signs:

Nobody sees the whole sales pictureQuotes live in several spreadsheets and mailboxes; the monthly forecast means someone has to phone round the team.
Customer history leaves with the employeeWho promised what, when you last spoke, what the complaint was — it was all in one person’s head and inbox.
Two people approach the same customerThere is no shared customer register, so salespeople do not know who is already working with a company.
Missed call-backs and expired quotesReminders sit in personal calendars, or nowhere; follow-up depends on individual discipline.
Reporting is manual workThe management report takes hours of copy-paste every month and is out of date when it is finished.
Spreadsheet versions collide“customers_final_v3_FIXED.xlsx” — if that looks familiar, the spreadsheet is no longer a register but a risk.

If two or three of these apply, a CRM is not a luxury but a condition for growth.

What does a CRM system give an SME?

A CRM (Customer Relationship Management) system is a shared database of every customer, prospect and interaction. For an SME it delivers three things:

VisibilityManagement sees the sales pipeline (which quote stands where, at what value, closing when), the service workload and team activity on one screen — without manual consolidation.
ContinuityCustomer history belongs to the company, not to one employee: emails, calls, meetings, quotes and complaints in one place. Work continues through holidays, sick leave or staff turnover.
AutomationReminders, quote templates, approval flows, notifications, SLA monitoring: what used to be kept in people’s heads, the system now flags.

Which CRM options does an SME have?

Broadly there are two groups, and both have their place.

CriterionLightweight SaaS CRMs (e.g. Pipedrive, HubSpot, Zoho CRM)Microsoft Dynamics 365 Sales

Vendors of lightweight SaaS CRMs change prices and plans frequently, so we do not compare them with numbers here; when deciding, always check the vendor’s current price list and plan limits (user count, automation, API access). Salesforce is the usual third candidate: a large platform with a wide ecosystem — at SME scale it typically competes with Dynamics 365 rather than with the lightweight tools.

When is Dynamics 365 worth it for an SME?

In our experience Dynamics 365 is the right choice when several of the following apply:

The company runs on Microsoft 365Salespeople work in Outlook and Teams; the CRM appears right there, with no new interface and no extra sign-in.
10 or more users, or heading thereThe smallest sensible implementation starts at 5–10 users; above 10, shared processes and security roles deliver real value.
There are processes to modelQuotes with approvals, price lists, contracts, service cases with SLAs — these need customisation.
ERP integration is requiredOrders, invoices or stock must flow between CRM and ERP; Dataverse and Power Platform provide a standard path.
A growth planIf customer service, marketing or field service follows later, it builds on the same database (Customer Service, Customer Insights – Journeys, Field Service).
If two or three salespeople want a simple pipeline, have no Microsoft 365 and need no integration, Dynamics 365 is oversized. We will tell you so in the discovery session.

What are the steps of a CRM implementation?

  1. Goals and discovery. What does management want to see, where are customers lost, who will use the system? The first discovery session is free of charge.
  2. Licences and scope. Sales Professional or Enterprise, how many users, what goes into the first phase and what comes later.
  3. Clean up the data. Cleanse customer and contact lists, remove duplicates from spreadsheets and the old system.
  4. Configure in iterations. Sales process, forms, views, quote templates, security roles; key users try things out along the way.
  5. Integration and migration. Outlook and Teams connection, ERP integration, data transfer with a trial migration first.
  6. Training and go-live. Role-based training, short guides, then a few weeks of hypercare.
  7. Measure adoption and extend. Who uses it, what is missing; the next phase (service, marketing, reporting) builds on that.

A Sales implementation for 20–50 users typically takes 2–3 months. We describe our method in detail on the Dynamics 365 consulting page.

How much does Dynamics 365 cost an SME?

There are two costs: the monthly licence and the one-off implementation.

Dynamics 365 Sales Enterprise€91.00 per user / monthMicrosoft list price for Hungary, 1 October 2026; excl. VAT, annual commitment

Licence example: 10 users on Sales Professional cost €563 a month at list price, 20 users on Sales Enterprise €1,820 a month. A smaller 5–10 user implementation needs fewer consultant days; we give the exact figure after discovery. For a detailed licence breakdown see Dynamics 365 Sales pricing 2026.

How do we help?

MDRSZ IT is a Microsoft Dynamics CRM consulting team in Budapest, specialised in the CRM side of Dynamics 365 (Sales, Customer Service, Customer Insights – Journeys). We handle discovery, licensing, implementation and operations in one hand — and if discovery shows a lighter CRM is enough, we say so.

Frequently asked questions

From how many users is Dynamics 365 worth it?

The smallest sensible implementation starts at 5–10 users. Above 10 users, on Microsoft 365 and with integration needs, Dynamics 365 is usually a better choice than a lightweight SaaS CRM.

Does an SME need Sales Professional or Sales Enterprise?

For a simpler sales process and a smaller team, Sales Professional (€56.30 per user per month at list price) is usually enough. If you need deep customisation, more complex processes or forecasting, Sales Enterprise (€91.00) fits better. We recommend after discovery.

How long does a CRM implementation take for an SME?

A Sales implementation for 20–50 users typically takes 2–3 months; a smaller 5–10 user start is shorter. The pace depends mostly on decision-makers’ availability and the state of the data.

Can we bring over customer data from spreadsheets?

Yes. The implementation includes data cleansing (duplicates, missing fields), a trial migration and validation with key users before the data goes live.

What does the first discovery cost?

Nothing. The first discovery session is free: we look at your processes and goals and make a written recommendation — even if that recommendation is a lighter CRM.
