CRM systems compared 2026: Dynamics 365, Salesforce, HubSpot, MiniCRM

In short: for a small team with a simple sales process, a lightweight SaaS CRM (Pipedrive, HubSpot, MiniCRM) is the faster and cheaper start – entry plans start at around €14–25 per user per month at list price. If the company works in Microsoft 365 and needs customisation, integration, customer service or marketing, Dynamics 365 Sales (from €56.30) or Salesforce (from €25, business plans from €100) are the realistic candidates. The table below compares them using the vendors’ official prices.

What does CRM mean?

A CRM (Customer Relationship Management) system is shared customer management software: it keeps customers, prospects, quotes and every related interaction – emails, calls, meetings, complaints – in one place. The benefits: management sees sales without manual consolidation, customer history stays with the company, and the system reminds people of what they used to keep in their heads. When an SME outgrows Excel is covered in CRM for SMEs.

CRM systems compared: which one suits whom?

Prices come from the vendors’ official price lists, per user per month, excluding VAT, in the currency shown (retrieved 27 October 2026; Dynamics 365 from Microsoft’s price list for Hungary, 1 October 2026).

Which CRM should you choose when?

Sales team of 2–10, simple processA lightweight SaaS CRM: Pipedrive, HubSpot Starter or MiniCRM. Live within days, even without a consultant. If a Hungarian interface and service matter, MiniCRM is a strong candidate.
Marketing at the centreHubSpot if marketing automation and sales sit together; Dynamics 365 Customer Insights – Journeys if the company works in a Microsoft environment.
Microsoft 365, customisation, integrationDynamics 365: salespeople keep working in Outlook and Teams, it connects to the ERP in a standard way, and customer service (Customer Service) and marketing can build on the same database. Whether you need CRM or ERP is covered in Dynamics 365 CRM or Business Central.
Large, multi-country salesDynamics 365 or Salesforce. Both are deeply customisable; the choice usually comes down to the existing Microsoft environment, partners and total cost.

How much does a CRM cost? The total cost

The cost of a CRM has three parts: licences (monthly, per user), implementation (one-off) and operations (support, enhancements, admin time). With lightweight SaaS CRMs the licence is the main item and implementation is your own time. With the large platforms implementation is significant too.

Example: 10 users, 1 year, list priceLicencesImplementation
Pipedrive Growth€4,680usually your own work
Dynamics 365 Sales Professional€6,756with a partner; in consultant days
HubSpot Sales Hub ProfessionalUSD 10,800–12,000+ USD 1,500 mandatory onboarding
Salesforce Pro Suite€12,000usually with a partner

With us, a Dynamics 365 Sales implementation for 20–50 users typically takes 30–50 days, HUF 4.5–7.5 million net, 2–3 months. Operating costs depend on scope: a monthly retainer or hourly billing, see Dynamics 365 support. For a detailed Dynamics licence breakdown see Dynamics 365 Sales pricing 2026.

What to watch out for in a CRM implementation?

  • Process first, software second. If it is unclear when a lead becomes a quote, no CRM will fix that.
  • Dirty data. Duplicates and incomplete records imported from spreadsheets cost user trust in the first week.
  • Too much at once. The first phase should contain what the team uses daily; the rest can follow.
  • No owner. You need an internal owner who decides and watches adoption.
  • Plan limits. User count, automations, API access: the entry price is often not the final price.

The implementation steps are described in CRM for SMEs.

What is our role?

We are a Dynamics 365 partner: we implement, support and test-automate Sales, Customer Service and Customer Insights – Journeys. We do not implement Salesforce, HubSpot, Pipedrive, MiniCRM or Zoho. That is also why we wrote this honestly: if a lightweight CRM is enough for a small team, we say so in discovery.

Frequently asked questions

Which is the best CRM for an SME?

There is no single best. For a small team with a simple process a lightweight SaaS CRM (Pipedrive, HubSpot, MiniCRM) starts faster. In a Microsoft 365 environment with customisation and integration needs, Dynamics 365 is the better choice.

How much does a CRM system cost?

According to official price lists, licences range from €14 per user per month (Pipedrive Lite) to €130 (Dynamics 365 Sales Premium); top editions of the large platforms cost more. Implementation and operations come on top.

Is there a free CRM?

Yes: HubSpot offers a free plan for up to 2 users, Zoho CRM for up to 3 users. That can be enough for one or two people; a team needs the automations and permissions of a paid plan.

MiniCRM or Dynamics 365?

MiniCRM is a Hungarian product with Hungarian-language service for small and mid-sized teams. Dynamics 365 is better if the company works in Microsoft 365 and needs deep customisation, ERP integration or service and marketing modules.

How long does a CRM implementation take?

A lightweight SaaS CRM is live within days. A Dynamics 365 Sales implementation for 20–50 users typically takes 2–3 months.
